Role Mission

Reporting directly to our Global Head of Client Services, your main goal is to provide full assistance and support in critical day-to-day operations, including organizing meetings and communicating with internal and external stakeholders, as well as special projects as necessary. You will be responsible to enhance executive’s effectiveness by providing information management support, managing multiple projects and conducting other administrative duties as assigned.

The role is based in our Headquarters near Florence, home to many corporate departments of our Company. Our Omnichannel and Client Services department is an enthusiastic, dynamic and highly multicultural team.

Key Accountabilities

  • Efficient management of Global Head of Client Services’ agenda through detailed and proactive planning of meetings, calls, conferences, teleconferences, and travel
  • Acting as the first-line contact for the Global Head of Client Services ensuring that all queries are discretely and professionally dealt
  • Ensuring that the Global Head of Client Services is appropriately briefed for all meetings with relevant correspondence, documents/presentations
  • Producing information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data and graphics
  • Taking responsibility for confidential secretarial, administrative and clerical duties including diary management and incoming correspondence
  • Coordinating all internal and external hospitality for international meetings
  • Organization of Business trips for department members: flights, taxis and hotel booking
  • Responsible for ad hoc project as assigned
  • Acting as the point of contact with third party service providers
  • Processing expenses and invoices

Things That Should Be In Your Background

  • Bachelor’s degree
  • 3-4 years’ experience in a similar role
  • Fluency in English and Italian
  • Advance knowledge of MS Office Suite, specifically excellent skills and proven experience in Excel, Power Point and Word
  • Strong professional discretion and ability to handle sensitive information
  • Outstanding written and interpersonal communication skills
  • Able to balance priorities and multiple projects with strict deadlines
  • Able to maintain a sustained and efficient performance under pressure and with a heavy workload
