Role Mission

Reporting to the Corporate Facilities Manager, the Facilities Coordinator is responsible for the maintenance of New York office facility and equipment along with overseeing all functions within the mailroom operation. Consistently provides the highest level of customer service to employees, guests, and vendors. 

Key Accountabilities

  • Provide general overall facility management services including continuous monitoring of office/facility;
  • Act as an interface with employees, vendors, and guests;
  • Responds to urgent maintenance calls;
  • Manages office equipment and supply needs, including kitchen and office supplies;
  • Troubleshoots any staff issues with the use of office or kitchen equipment;
  • Accepts incoming mail, processes, sorts, and delivers to the proper recipients;
  • Prepares outgoing mail for shipment, including USPS, FedEx, and messenger shipments;
  • Distributes overnight packages, operates mailroom equipment including postage meters and trackpad;
  • Maintains records of receipt, mailing dates, and other required information;
  • Provides support for meetings and conference room set-up’s, as well as partnering with Gucci / Kering Technical Support to ensure all video conferencing equipment is operational and helps with troubleshooting when required;
  • Assists with new employee office/desk placement and internal space moves;
  • Seek to continuously improve processes, systems, and overall client satisfaction;
  • Coordination and scheduling of maintenance activities;
  • Provide direction/information to vendors, facilities staff and service providers as required to ensure excellent coordination/execution of work within client environment with minimal disruption.
     

Key Requirements

  • High School diploma or equivalent;
  • A minimum of 2 years’ experience in facilities coordination and mailroom operations;
  • Experience in building and equipment maintenance;
  • Basic knowledge of Microsoft Word, Excel, Outlook, and Teams;
  • Able to respond to building and equipment emergencies at any hour if required;
  • Comfortable interacting with all corporate employees, including executives, building management teams and vendors;
  • Excellent organizational and communication skills;
  • Understands the importance of adhering to budgets and fiscal responsibility;
  • Ability to understand and follow written and oral instructions;
  • Prioritize and manage the completion of projects in an efficient and timely manner;
  • Ability to work independently with minimal supervision.
