Role Mission

The Receptionist Associate is responsible for the coordination and facilitation of all incoming calls to the switchboard. He/she will provide, as well as serving as a “Gucci Ambassador” by promoting the philosophy and values of the brand. Passion for the brand is conveyed through creating a branded, luxury client experience.

Key Accountabilities

  • Answer all incoming calls in a timely fashion and direct calls to their appropriate and specific department. Will transfer a caller to an associate's voice mailbox when associate is unavailable.
  • Takes and retrieves messages for various personnel
  • Provides callers with information such as company address, directions to the company location, and other related information
  • Receives sorts and forwards incoming and outgoing mail
  • Maintains and updates schedule for daily meetings
  • Assists in ordering, receiving, stocking and distribution of office supplies
  • Welcomes and directs visitors to the company
  • Handle a multi-line switchboard
  • Assist in preparing monthly reconciliation reports
  • Assists with other related clerical duties such as photocopying, faxing, filing and collating
  • Assists with incoming charge sends and ensure that they are processed in a timely manner
  • Assist in verifying phone orders for all associates
  • Verify inventory of items for clients using JDA
  • Organize, co-ordinate meetings, in the conference room
  • Monitor and maintain office equipment
  • Tidy and maintain the reception area

Job Requirements

  • High School Diploma
  • Two years of administrative experience working in a luxury brand
  • Flexible Schedule
  • Handle a multi-line switchboard
  • Ability to lift files, and bend or stand as necessary
  • Be able to communicate effectively oral and written
  • Verbal and written communication skills
  • Able to type at least 40 wpm
  • Familiar with Outlook, Excel, Word
  • Able to communicate in language is strongly preferred
