Role Mission

The Executive Assistant has a fundamental role in providing comprehensive support to the EVP Chief Operating Officer & Chief Financial Officer to achieve and perform in terms of efficiency but also in supporting a sincere and direct relationship with internal teams and outside partners. The Executive Assistant role requires the ability to anticipate needs, think critically, and offer solutions to problems with a high level of professionalism and confidentiality.  The Executive Assistant will need to work closely with all direct reports, assistants, and teams within the Americas, the headquarters Italy, and other regional offices as need to rapidly develop trust as the basis for an efficient collaboration.

Key Accountabilities

  • Complete a broad variety of administrative tasks that facilitate the COO & CFO’s ability to effectively support the leadership of the organization;

  • Coordinate and ensure the COO and CFO schedules are well planned, followed, and respected. Will provide “gatekeeper” and “gateway” role, enabling win-win situations in interactions with senior leadership and teams;

  • Work closely with the COO & CFO to keep them well informed of upcoming commitments and responsibilities, following up appropriately anticipating needs in advance of meetings, travel, conferences, etc.;

  • Ensure accurate, efficient, and smooth administrative support to COO & CFO;

  • The ability to anticipate needs, think critically, and offer solutions to problems with a high level of professionalism and confidentiality;

  • Assisting with special projects; designing and producing complex documents, reports, and presentations;

  • Collect and prepare information for meetings with staff and outside parties; composing and preparing correspondence; maintaining contact lists; making travel arrangements; maintaining budgets and completing expense reports;

  • Active desire to invest in building long-lasting relationships both externally and internally;

  • Provides a bridge for smooth communication between the CEO & CFO offices and internal departments; demonstrating leadership to maintain credibility, trust, and support management staff.

  • Develop and maintain efficient reporting, keep accurate and up to date information, prepare documentation and support the overall operations of the President and COO’s office to ensure efficiency;

  • Support the COO and CFO in ensuring quality internal & external communication, and follow ups;

  • Make appropriate, informed decisions regarding priorities and available time;

  • Ad hoc & personal support, continuous self-improvement;

  • Assists in coordinating the agenda of senior management team meetings and off-sites as needed.

Key Requirements

  • Experience of at least 4 - 6 years in a C-Suite Executive Assistant role in a multinational company, ideally within the Luxury industry;

  • Excellent proficiency of all administrative tools, digital tools, and essential software; Microsoft Suite, advanced Excel (Pivot Table, VLOOKUP) and advanced PowerPoint presentation preparation; browsers, etc.; Concur, SAP (preferred)

  • Highly resourceful team-player, with the ability to also be extremely effective independently;

  • Solid communication and interpersonal skills; able to establish trust and respect with all levels of employees;

  • Accountability/Credibility, able to always perform highly accountable work style with a strong sense of confidentiality linked to the function, attention to details and compliance;

  • Excellent written and oral communication skills, impeccable attention to detail able to produce/write text that is in line with luxury company standard expectations;

  • Possess a global awareness and knowledge of cultural differences and business practices;

  • Able to multi-task, work at a fast pace with total accuracy and efficiency in support of the COO & CFO;

  • Technical proficiency and problem-solving skills related to IT support and troubleshooting; and cloud-based environments (web-based applications).

  • Ability to react with appropriate levels of urgency to situations and events that require quick response or turnaround;

  • Flexible, adaptable, and reliable; Ability to switch gears at a moment’s notice.

  • Able to anticipate needs and provide the highest quality of service;

  • Good at teamwork and able to work well and communicate with cross-functional teams and diverse communities locally and internationally;

  • Working knowledge of Italian a plus

Work authorization
