Role Mission

The Manager, Corporate Facilities is responsible for overseeing the overall repairs, maintenance, facility operation and continued architectural requirements of the Gucci New York and New Jersey corporate offices.  The Manager will work closely with the Facilities and General Services team, Client Services’ managers and directors, vendors and contractors to identify problems and develop short/long term sustainable solutions, review proposal estimates, and coordinate all work through Service Channel and building software, such as Building Engine.  Scope includes scheduling, coordinating, negotiating, as well as following through completion of all corporate facilities maintenance such as HVAC, cleaning, MEP, fire protection systems, millworkers, locksmith, elevator inspection and all general repairs and maintenance for office facilities.

Key Accountabilities

  • Maintain relationships with local and worldwide teams including, Store Planning, Visual Merchandising, MIS, Finance, Logistics, Security, Mail Clerk, PR, Special Events, Wholesale, VIP, Training, Indirect Procurement, Client Services;
  • Identify problems, coordinate and follow up for solutions;
  • Coordinate repairs and maintenance through Service Channel (website and app);
  • Drive and implement the use of Service Channel website, app and/or IVR for all corporate locations and vendors;
  • Review all cost proposals;
  • Maintain status update of cost schedules for all work order reviews on a weekly/bi-weekly basis with Senior Manager of Facilities and General Services;
  • Develop and maintain cost summary of all maintenance work (OPEX and CAPEX maintenance) ensuring respect of budget with Finance and Senior Manager of Facilities and General Services;
  • Make frequent visits to the offices and occasional off-site storage visits ensuring conditions are up to Gucci regional and WW standards;
  • Keep track and maintain all records for floor plans, specs, materials and preferred vendor lists for each store locations;
  • Review installation on site as required, verify that repairs and lay-out improvements are being installed correctly;
  • Review and approve proposal and invoices in a timely manner within Service Channel and accounting system;
  • Follow up with outstanding repairs and maintenance issues ensuring on-going collaboration with all corporate locations and provide status update to Senior Manager of Facilities and General Services on a regular basis;
  • Attend to urgent facilities issues in a timely manner;
  • Escalate any issue to Senior Manager of Facilities and General Services as needed;
  • Any other facilities and general services work in East Coast as directed by Senior Manager of Facilities and General Services;
  • Oversee and coordinate all office moves, storage usage and allocation, renovation and event setup activities within Gucci office facilities;
  • Spearhead the drafting and implementation of Gucci Corporate Facilities standard operating procedures (SOP) for a smooth operating and functional way of working;
  • Schedule and arrange regular, urgent and event-based office cleaning requests with building, vendors via Service Channel and/or building engine;
  • Manage relationships with building management and landlords, as well as cleaning and on-site staffing;
  • Attend to urgent cleaning issues in a timely manner;
  • Review cleaning proposals and agreements and negotiate as needed;
  • Maintain all corporate office aesthetics and upkeep. 

Key Requirements

  • 2 – 4 years of facilities, general repair and maintenance experiences in Corporate Office environment;
  • Must have intermediate level of MS Word, Excel, PowerPoint and Service Channel;
  • Bachelor’s degree, preferably in construction, business administration field;
  • Knowledge of standard quality means and materials in construction and millwork for luxury retail environment;
  • Must have excellent and clear written and verbal communication skills;
  • Excellent organizational and follow through skills;
  • Must be accountable for actions and operate with the highest degree of integrity;
  • Can operate autonomously without daily supervision;
  • Ability to work under pressure in a fast-paced environment;
  • Comfortable working and collaborating with various departments, stakeholders, internal and external;
  • Light - medium lifting required;
  • Frequent local travel required.
