We are seeking an Executive Assistant based in Singapore, to provides support to our Vice President (VP) for Southeast Asia & Oceania market.
Your opportunity
The Executive Assistant provides support to Vice President (VP) and is often trusted with complex duties and sensitive information.
In addition to general administrative work, the Executive Assistants will in charge of scheduling meetings, making travel arrangements, and preparing expense reports. This role will also support in consolidating reports and preparing presentations for the executive leadership meetings and conference calls.
To be successful in this role, you should be well-organized, have great time management skills and be able to act without guidance.

How you will contribute
General Administrative Work
- Assist with the day-to-day operations to ensure efficient and seamless coverage of the VP’s office.
- Maintain the VP ‘s calendar, including scheduling meetings, and appointment across multiple time zones.
- Coordinate travel arrangements; prepare detailed travel itineraries inclusive of flights, visas, hotels, meeting agendas, etc.
- Reconcile and submit all invoices and expenses in Concur in a timely manner.
Executive Meeting Support
- Prepare and compile management & business reports (Excel and PowerPoint) and related materials for conference calls and meetings.
- Attend meetings and take notes of discussion; prepare the initial draft of meeting
- Maintain and update all reporting, files, and databases.
Office Administration & Activities
- Oversee and maintain office equipment, identify needs, and acquire supplies, manage vendor relationships.
- Liaison with the landlord on problem resolution with the office space, fire safety and security etc.
- Oversee planning for company town halls and events by corresponding with vendors and venues, sending company-wide calendar invites, creating collateral, compiling, and distributing necessary gifting.
- To assist in ad-hoc project where necessary
Who you are
- 4 or more years of experience in an administrative role reporting directly to upper management.
- Excellent written and verbal communication skills.
- Excellent time management skills with a proven ability to meet deadlines.
- Proficiency with Microsoft Office Suite or similar software with the ability to learn new or updated software.
- Ability to maintain confidentiality of information related to the company and its employees.
- Passionate in luxury retail & fashion
- Prior experience in retail industry is a plus.
