Role Mission
The Worldwide Entertainment Industry Relations Operations and Logistics Supervisor will be responsible for the supervision of VIP attendance and travel logistics for fashion shows and major image events.
Key Accountabilities
- Act as the project manager for 3rd party agencies related to 5+ fashion shows, LACMA and worldwide (WW) image events for coordination of travel, accommodations, and logistics for the global VIP guests;
- Develop, maintain, and manage all aspects of the budgets for Gucci fashion shows and high-profile image events across various regions;
- Oversee the daily communication and requests between Gucci and external agencies;
- Identify brand appropriate hotel and room levels for bookings;
- Responsible for confirming hotel room blocks needed for global guests in conjunction with the agency when applicable;
- Oversee car and glam bookings;
- Support in the organization of invitations and flowers and or gifts to guests;
- Day of event oversee and run of show for guests;
- Follow up on all invoicing related for the events and reconciliation of budgets;
- Support booking travel for U.S. VIPs for the shows and other influencers and notables during the year as needed;
- Support New York office on additional activities as needed including but not limited to event guest list management, mailings, and special reports;
- Create and manage all budgets related to mailings, activities, events, and special initiatives for the overall department;
- Organize and manage dressing updates;
- Research talent;
- Travel for image events.
Key Requirements
- BA/BS in Public Relations, Marketing, Finance, or related degree;
- At least 2 years’ experience working in hospitality, event production, client entertainment and or public relations;
- Experience creating, maintaining and on-going management of large-scale budgets;
- Proficiency in Microsoft Word; Excel; PowerPoint: Outlook;
- Solution oriented with strong problem-solving skills;
- Strong writing and communication skills;
- Detail oriented self-starter with excellent time management skills including ability to prioritize and multitask;
- Works well under multiple deadline pressure (often under minimal timeframes);
- Strong administrative skills and knowledge of developing budgets and management;
- Positive and focused professional team attitude.
