Position Overview
We are seeking a highly organized and proactive Personal Assistant (PA) to support our Chief Executive Officer. This role is pivotal in ensuring the smooth operation of the CEO’s office by providing comprehensive administrative and organizational assistance. The ideal candidate will demonstrate exceptional professionalism, discretion, and the ability to thrive in a fast-paced, dynamic environment.
RESPONSIBILITIES
Executive Support
Manage the CEO’s calendar, schedule appointments, and coordinate complex travel arrangements.Prepare and organize documents, presentations, and reports for meetings and strategic initiatives.
Communication Management
Serve as the primary liaison between the CEO and internal/external stakeholders.
Draft, review, and manage correspondence on behalf of the CEO with accuracy and professionalism.
Meeting Coordination
Organize and attend meetings, prepare agendas, take minutes, and ensure timely follow-up on action items.
Confidentiality & Discretion
Handle sensitive information with the utmost confidentiality and integrity.
Project Assistance
Support special projects and business initiatives as directed by the CEO.
Office Coordination
Collaborate with other departments to ensure seamless operations within the CEO’s office.
Qualifications & Skills
Bachelor’s degree or equivalent professional experience.
Proven experience as an Executive Assistant or Personal Assistant supporting senior leadership.
Exceptional organizational and time management skills with attention to detail.
Strong written and verbal communication skills in English (Japanese proficiency is native).
High level of discretion, professionalism, and cultural awareness.
Proficiency in Microsoft Office Suite and digital collaboration tools.
