    KERING Facility Manager

    We are currently looking for a Facility Manager Japan who will report to the Head of Construction and Facility, Japan. The Facility Manager has the overall responsibility for overseeing the implementation of policies, procedures and programs that will assure well-managed, well-maintained buildings and facilities. Priority will be given to provide positive response to the concerns and needs of the tenants, environmental health and safety, and quality programs, in coordination and conjunction with the goals and objectives of the client. The position is the primary liaison with the client and leads the team in the coordination of services, activities, financial aspects, vendors and manpower required for current and future needs of the buildings and operations.

    ESSENTIAL FUNCTIONS AND RESPONSIBILITIES
    • Oversee day-to-day operations of building and facilities ensuring that all services are effectively delivered, and building needs are met including monitoring, life-safety, engineering and general maintenance. Ensure that the team implement and provide these services in a manner consistent with policies and directives
    • Lead the General Service team in the supervision of maintenance programs relating to the interior and exterior conditions and appearance and operation of the facilities
    • Ensure that General Service team consistently provides positive and prompt response to requests from the client and building tenants/occupants
    • Ensure General Service team implements ongoing contract review programs to constantly assess clients, tenants and occupants needs and to assure that problems are being solved promptly and to the mutual benefit of the tenant, owner and the properties
    • Prepare, deliver and monitor consolidated reporting and reviews of all budgets, financial reports (monthly and quarterly), contracts, expenditures and purchase orders related to the building, facility(s) or complex
    • Develop, prepare and explain the annual building budget, quarterly forecasts, and business plans
    • Assist in development of capital budgets for the property. This includes contributions towards a five-year plan of maintenance, improvement and cost reduction initiatives
    • Coordinate the collection, analysis and reporting by the team management of statistical data and analysis to provide accurate and current assessment of building management objectives, work order productivity, cost savings and improvements. Review work order metrics and system to identify service gaps and recurring issues and provide corrective actions
    • Approve all positions and direct the hiring, training and motivational activities of the team. Responsible for effective and proactive employee relations with all site staff. Conduct and approve all performance evaluations of team members
    • Manage and drive customer focus within all areas of operational activities and ensure that effective relationships are maintained with key client contacts
    • Drive innovation through the development of best practices, operational and service efficiency as well as the identification of industry trends and tools that would contribute to our operational excellence goals
    • Ensure that facility management staff require all tenants and vendors comply with insurance requirements and coordinate all claims as required
    ‣ The following property management tasks are included:
    -Manage any requests to modify properties including landlord formal request
    -Claims management mainly regarding building issues
    -Manage daily property requirements and plan capital improvements by regularly inspecting properties for damage and inefficiencies
    -Assist insurance expertise’s and contract renewal monitoring
    -Visit sites regularly to verify the quality of maintenance and construction by contractors, as well as the required insurance certificates
    -Collaborate with vendors and contractors, and coordinate with tenants, to expedite completion of work
    -Review and analyze the service charges invoicing including rent
    -Set up and update the tenancy schedule
    -Plan and manage property operating budgets, monitor income and expenses, and prepare reports on leasing (quarterly annual), variance, and capital

    QUALIFICATIONS
    • 5-8 years relevant experience in similar position with sizeable companies and team management
    • Hands on experience in Building systems and structures
    • Facility management, Property management and organisation skills. Process and result oriented
    • Strong technical and regulatory knowledge
    • Result-driven, work prioritization and resourceful
    • Team leader and team player
    • Excellent project management skill
    • Excellent inter-personal and coordination skills
    • Proactive and able to work under minimum supervision
    • Proficient in written & spoken English and Japanese
    • Autocad basic skills or another drawing/design software is a plus
    • Fire Prevention Manager course completion
