The Venue Specialist supports the planning, preparation, and execution of key activities managed by the Creative Office, ensuring that internal spaces are efficiently set up to enable design reviews, sales campaigns, and fashion show operations.
This role plays a critical part in translating creative and operational requirements into functional, high-quality environments, ensuring seamless execution and alignment with Gucci's standards of excellence.
Key Responsibilities
Space Planning & Setup
- Optimize and organize internal spaces to support the Design Office's day-to-day activities and weekly review sessions.
- Manage the setup and reconfiguration of workspaces within tight timelines, coordinating the movement of products, samples, boards, and materials before, during, and after reviews.
- Ensure functional, efficient, and well-equipped environments tailored to the needs of creative teams and capable of adapting quickly to changing priorities.
- Coordinate the fitting-out, organization, and reorganization of spaces according to project and collection requirements.
- Anticipate the needs of the Design Office and proactively identify and resolve potential operational issues.
Sales Campaign Execution
- Support the planning and organization of showroom and campaign spaces, ensuring optimal layout, functionality, and readiness for commercial and Visual Merchandising activities.
- Support the operational setup of sales campaigns, ensuring display areas are fully prepared and ready for Visual Merchandising activities.
- Coordinate suppliers and external partners to source materials and services while balancing creative requirements, project feasibility, and budget constraints.
- Monitor project timelines, deliveries, quality standards, and associated costs throughout execution.
- Act as the primary point of contact for suppliers, ensuring alignment with project requirements and Gucci brand standards
Fashion Show Backstage Management
- Organize and manage backstage areas for fashion shows in Italy and internationally, ensuring efficient workflows and optimal use of space.
- Coordinate the sourcing and procurement of materials and equipment required for backstage setup, ensuring timely availability and operational readiness.
- Support the rapid sourcing of unexpected materials required for last-minute creative requests.
- Oversee the preparation, installation, and operational readiness of all backstage environments.
- Ensure logistics and setup activities are executed efficiently, often under tight deadlines and changing requirements.
- Manage backstage inventory, including tracking, allocation, replenishment, and optimization of materials and equipment.
- Work closely with show coordinators and creative teams to minimize operational disruptions and effectively manage last-minute changes related to styling or collection needs.
Cross-Functional Coordination
- Collaborate with internal stakeholders, including Design, Product Development, Events, Operations, and other relevant functions, to optimize the use of spaces and resources.
- Assess business priorities and operational needs to ensure effective planning and execution of activities.
- Support alignment between creative vision and operational execution.
- Ensure consistency in quality, efficiency, and delivery across all projects while maintaining flexibility to accommodate evolving timelines and priorities.
Key Requirements
- Previous experience in events management, retail operations, space management, production support, or similar environments.
- Proficiency in AutoCAD, with the ability to create, update, and interpret layouts, space plans, and technical drawings to support workspace, showroom, and backstage planning activities.
- Strong organizational, planning, and coordination skills.
- Ability to manage multiple priorities in fast-paced and constantly evolving environments.
- Experience in supplier management and vendor coordination.
- Experience managing project budgets and monitoring costs while ensuring quality and timely delivery.
- Excellent problem-solving skills and strong attention to detail.
- Flexibility and willingness to travel internationally as required.
- Strong execution mindset with a high sense of ownership and accountability.
- Adaptability to rapidly changing priorities and business needs.
- Fluency in English.
- Strong aesthetic sensibility and understanding of luxury brand standards.
Salary Package
- Gross Annual Salary: 37.000 € (unless otherwise agreed, in the event of a positive outcome of the selection process, should specific levels of experience and autonomy and/or particular competencies emerge during the selection process, based on objective criteria).
- NCBA (National Collective Bargaining Agreement): CCNL Industria Pelli e Succedanei (unique alphanumeric code: D111)
- Bonuses and Commissions: Annual Target Bonus as per the company-level collective agreement in force, up to 20% of the Gross Annual Salary.
