    Your opportunity

    The Personal Assistant to the Chief Commercial Officer plays a critical role in supporting the effectiveness, organization, and execution of the CCO’s agenda. This position combines high-level executive assistance, complex travel and calendar management, and a strong coordination and project management dimension, particularly across transversal, cross-functional topics.

    The role requires excellent judgment, anticipation skills, discretion, and the ability to consolidate information from multiple stakeholders into clear, actionable outputs.

    How you will contribute

    Executive Calendar & Time Management

    • Proactively manage the CCO’s calendar, agendas, and priorities, ensuring optimal use of time
    • Coordinate and organize all meetings involving the CCO, including internal leadership meetings, ComEx, project reviews, and external meetings
    • Anticipate scheduling conflicts, prioritize requests, and ensure agendas and materials are prepared in advance
    • Act as a gatekeeper, ensuring alignment between meeting objectives and the CCO’s priorities

    Travel & Logistics Management

    • Organize and manage weekly and long-term travel plans, including flights, accommodations, ground transportation, and meeting logistics
    • Plan travel schedules well in advance, while remaining agile and responsive to last-minute changes
    • Coordinate with multiple internal teams and external stakeholders to align travel with business priorities
    • Manage travel changes efficiently, minimizing disruption and time loss for the CCO
    • Ensure travel documentation, visas, and authorizations are in place when required

    Administrative & Operational Support

    • Manage expense reports and ensure timely submission and compliance
    • Handle travel authorizations, approvals, and related administrative processes
    • Manage absence requests and administrative coordination for teams reporting to the CCO
    • Support general administrative tasks linked to the CCO’s scope, ensuring smooth day-to-day operations

    Document Preparation, Reporting & Meeting Support

    • Consolidate data, inputs, and short debriefs from key teams reporting to the CCO
    • Prepare weekly business review summaries, ComEx and management meeting briefs
    • Take minutes during key meetings, track decisions, action items, and ownership
    • Follow up systematically on action points and ensure progress is monitored and reported

    Transversal Ad Hoc Project Coordination & Follow-Up

    • Support the CCO on key transversal and strategic projects involving multiple functions
    • Act as a coordination point between teams to:
      • Consolidate inputs
      • Align timelines
      • Track deliverables and milestones
    • Maintain and update action plans, to-do lists, and follow-up trackers across meetings and projects
    • Ensure continuity from one meeting to the next by consolidating agendas, decisions, and outstanding actions
    • Prepare pre-reads, summary slides, or key talking points for important meetings, based on information gathered from all relevant stakeholders

    Additional Value-Add Responsibilities

    • Act as a trusted sparring partner to the CCO by highlighting inconsistencies, risks, or missing inputs ahead of meetings
    • Improve efficiency by standardizing:
      • Meeting templates
      • Reporting formats
      • Follow-up and action tracking tools
    • Support preparation of key slides or executive summaries for high-visibility meetings
    • Ensure information flows smoothly across teams and that priorities are clearly communicated and followed up
    • Contribute to continuous improvement of internal coordination and communication processes

    Who you are

    • Proven experience as a senior executive assistant or PA, ideally supporting a C-level executive
    • Strong organizational, time-management, and prioritization skills
    • Excellent written and verbal communication skills
    • High level of discretion and confidentiality
    • Ability to consolidate complex information into clear, concise summaries
    • Strong coordination and follow-up mindset, with a light project management orientation
    • Comfortable working with senior stakeholders and cross-functional teams
    • Proactive, detail-oriented, and able to anticipate needs
