Includes all facilities management activities such as building maintenance, energy saving, fleet management and personal drivers. This role is responsible for providing essential support to our workforce, creating a productive work environment. Speciality Description - Facilities: Ensures all sites run smoothly and that all problems are addressed in a prompt manner. Also includes roles responsibly for energy saving and fleet management.

    Reporting to Facility Supervisor

    How you will contribute

    The Facility Administration Intern will support the day-to-day operations of the Facilities team by assisting with administrative tasks, coordinating facility services, and ensuring a safe, organized, and efficient workplace. You will also provide receptionist coverage when required and assist in addressing facilities-related matters across the brands.

    Main Responsibilities:

    • Assist in the daily administration of facility operations.
    • Provide receptionist/front desk coverage during breaks, leave, or as assigned, including greeting visitors, answering phone calls, and handling general enquiries.
    • Support the coordination of maintenance, repair, cleaning, and other facility services.
    • Assist in resolving facilities-related issues across the company's brands by coordinating with internal stakeholders and external vendors.
    • Liaise with vendors and service providers to schedule maintenance, repairs, and follow up on service completion.
    • Maintain office supplies inventory and coordinate replenishment when required.
    • Conduct routine inspections of office facilities and report maintenance or safety issues.
    • Maintain facility records, documentation, and asset inventories.
    • Assist with meeting room bookings and ensure common areas are clean, functional, and well-maintained.
    • Support workplace health, safety, and housekeeping initiatives.
    • Perform general administrative duties such as data entry, filing, document preparation, photocopying, and report compilation.
    • Undertake ad hoc assignments and projects as required by the Facilities and Administration team.

    Who you are?

    • Currently pursuing a Diploma or Bachelor's degree in Business Administration, Facilities Management, Property Management, Engineering, Social Sciences or a related field.
    • Proficient in Microsoft Office applications (Word, Excel, PowerPoint, and Outlook).
    • Good communication and interpersonal skills with a customer service mindset.
    • Strong organizational skills and attention to detail.
    • Able to multitask, work independently, and collaborate effectively with different teams.
    • Responsible, proactive, and willing to learn.
