Role Mission

The Senior Manager Facilities and General Services is responsible for providing analytical leadership and expertise in areas of Facilities and Maintenance to lead operational and architectural objectives across Gucci’s network of stores and corporate offices within North America. They will oversee the maintenance and completion of projects and ensure standards of quality are met in a timely and cost-effective manner.  Reporting to the COO, this role also is involved in strategic development projects and operational development of new business ventures within North American region.

Key Accountabilities

General

  • Develop and implement Retail and Corporate offices facility and maintenance policies and procedures with the highest possible focus on employees’ security and wellness in cooperation with the HR and Legal teams;
  • Maintain and establish strong working relationships with contractors, and other consultants as needed;
  • Establish and review budgets, schedules, and project teams for each project;
  • Acts as liaison between cross functional departments (Retail Operations, Visual, Store Planning, Finance etc.) and consulting team;
  • Work closely with Store Directors to identify problems, facilitate preventative maintenance, develop solutions, review estimates, and coordinate work;
  • Corporate offices support includes overseeing the maintenance and mailroom staff that oversee the daily upkeep and operation of the NYC and NJ Corporate Offices;
  • Scope includes scheduling and negotiating facilities maintenance such as cleaning, waste removal/recycling programs, canteen suppliers and maintenance, MEP and fire protection systems, exterminator, and general relationship with building management;
  • Develop, coach, and lead a team of facilities and renovations professionals to effectively execute corrective and preventive maintenance on projects;
  • Obtain completive bids and contract maintenance work for all retail locations, NY and NJ Corporate Offices;
  • Manage and maintain opex and capex maintenance budgets;
  • Oversee maintenance databases including furniture/visual tools and millwork storage;
  • Assess structure and provide ongoing development of the facility team – both from a human capital as well as from an organizational and flow management perspective;
  • Schedule and negotiate store and facilities maintenance such as cleaning, mechanical, electrical and plumbing, fire protection systems, and elevator services through the company’s maintenance service system (Service Channel), to be completed in a qualitative, cost effective and timely manner;
  • Evaluate effective system integration and work flow for store facility management;
  • Back of house elevation and optimization project study and development– in close partnership with Store Planning and Retail Operations;
  • Define flow for BOH design and organization for store refurbishment and new opening projects;
  • Support the implementation of the Business Continuity and Disaster Recovery plan;
  • Oversee and complete re-implementation of Service Channel along with SAP roll-out;
  • Support lay-out improvements in partnership with Store Planning and Visual team;
  • On-going review of cleaning and sanitizing procedures for all stores and corporate offices;
  • Corporate offices: general management and study of flows and operational processes at NY, NJ and LA corporate offices;
  • Support the COO in strategic development activities such as Client Service operations in New Jersey, related incentive project and operational development of new business ventures within North American region;
  • Work in close partnership with Indirect Procurement to create a negotiation – project management task force.

Key Requirements

  • A minimum of 7+ years’ experience in a Luxury facilities-related Management role
  • Minimum of 5+ years of team management experience leading, motivating, and developing a team, local and remote;
  • 5+ years of Budget creation/management and P&L responsibilities;
  • Progressive experience building, leading, and cultivating teams of facilities, renovations, and project management professionals in a fast-paced environment;
  • Attention to the smallest details;
  • Demonstrated ability to manage Retail and Office operations and activities;
  • Demonstrated experience building relationships with stakeholders, including vendors and broader business community; ability to persuade associates at all levels;
  • Individual contributor who is motivated by the ability to work in a fast-paced corporate environment while effectively managing time and tasks;
  • Excellent communicator and listener; experience presenting across all levels of an organization;
  • Solid troubleshooting mindset, creative problem-solving and time management skills, and the ability to make connections across complex ideas;
  • Work with the capex database (ExRe) for data entry and project updates;
  • Experience in RFP and negotiating vendor contracts; locally and nationally;
  • Knowledge of standards and statutes of regulatory agencies including OSHA and Environmental Protection groups;
  • Knowledge of standard quality means and methods, and materials in construction and millwork required for a luxury retail environment;
  • Longstanding relationship with facility vendors within North America;
  • Advanced knowledge of MS Word, Excel and PowerPoint;
  • Good working knowledge of MS Project and AutoCAD;
  • Must have excellent scheduling skills with experience in project phasing and project rollouts;
  • Excellent understanding of design drawings and project documentation;
  • Extremely organized and deadline-oriented;
  • Excellent written and verbal communication skills;
  • Review all work orders in the facility database, i.e. Service Channel to ensure work orders are aligned with budget and respecting turn-around time.
