We are currently seeking an Assistant for the WW Digital & Marketing Department, as part of our dynamic team based in Paris.
ROLE
The WW Digital & Marketing Department Assistant will be in charge of coordinating and smoothing all the activities of this department, from organizing meetings to preparing reports and performing administrative tasks.
MISSIONS
ACT AS A TEAM COORDINATOR
- By ensuring the accurate global team meeting coordination
- By creating the right one-to-one and team rendez-vous
- By managing team meetings and schedules
- By liaising with all key Communication and Marketing teams and Directors
- By scheduling and preparing internal marketing meetings
- By elaborating meeting minutes
SUPPORT MEETING ACCURACY
- Anticipate internal and external meetings, preparing calendars, and printing necessary reports
- Manage the digital and marketing review
- Coordinate calendars and updates of various team tools
- Coordinate and print regular internal sharing tools
MANAGE ADMINISTRATIVE TASKS
- Various support for the team: administrative, travels etc.
- Various research and analysis in relation with the scope of the department
- Various administrative support including contact listing update
SUPPORT ARCHIVING AND INVOICING
- Media digital archives
- Media and Department invoicing support
CONTROL RIGHTS
- Gather rights limits and update rights file accordingly
- Manage alerts and share information
MEDIA CONTROL
- On-site OOH check and cleaning control
PROFILE
- At least 3 to 5 years of experience in a similar position, assisting and coordinating activities for a whole department, in a demanding environment
- Strong attention to detail
- Excellent organization skills
- Very strong interpersonal skills
- Team spirit oriented
- Fluent English (spoken & written)
- Very good command of Word, Excel, PowerPoint, Keynote
- Ability to work in a highly confidential environment
